Start with the task

Decide what the learner should be able to complete.

Before recording, identify the learner, the task, the knowledge and access they already need, and the visible result that confirms completion. A focused demonstration is easier to follow, review, and maintain than an unplanned tour of an entire system.

For example, a trainer might demonstrate a fictional internal equipment request in an authorised test environment. Use sample data instead of real employee, customer, or commercially sensitive information.

Prepare the environment

Control what the recording can reveal.

  • Close unrelated applications and disable visible notifications.
  • Confirm that the selected screen or region contains only the lesson.
  • Check that the recording and intended audio sources are authorised.
  • Use an approved demonstration account with sample information.
  • Record a short sample and replay it before the full walkthrough.
  • Confirm that interface text, cursor actions, and narration are understandable.

Demonstrate one meaningful action at a time, explain why it matters, and show the resulting state. Finish with the completion check and explain where the learner should go for help.

Choose the right output

Keep video and written guidance distinct.

Video is useful for movement, timing, and narration. A written guide is easier to scan when someone needs a field name, decision rule, or exception. Choose the format around the learner’s task rather than assuming one format replaces every other.

Ask an authorised reviewer who did not make the recording to complete the task in a test environment. Check playback, text size, audio, missing prerequisites, decision points, and the accuracy of the final result.

Provide an accessible written alternative through your organisation’s approved workflow, and review any captions or transcript created with another authorised tool. Record the owner, version, and review trigger, then store and distribute completed files with appropriate access controls.

Local processing does not make every later sharing decision safe. Your team still controls output folders, permissions, retention, and distribution.
